Request for Proposal: Communications Development and Management

Summary of Request

The Thomas Jefferson Planning District Commission (TJPDC) seeks communications development and maintenance services to ensure that its website, e-newsletter, publications, presentations, and social media continues to meet the changing needs of its members and constituents.

Scope of Work

This project Scope of Work must at a minimum address the tasks and deliverables listed below. The successful proposal shall demonstrate that the offeror understands and is prepared to meet or exceed all the tasks and deliverables outlined in the Scope of Work.
Task 1: Website Development and Maintenance
  1. Perform regular maintenance and upkeep of existing websites, make recommendations to TJPDC onhow to improve and optimize the site. The existing site is managed in WordPress.
  2. Develop new websites or subdomains, as needed.
  3. Design and update layouts, as needed.
  4. Maintain the integrity of the site against spam, hackers, viruses and electronic attacks via firewalls,security software, and passwords.
Task 2: Manage and Publish Content
  1. Publish News, eNewsletter, Committee Agendas and Minutes, Reports and Deliverables within 24hours of request.
  2. Publish and maintain calendar of events, including public notices, hearing, events, job openings, etc.within 24 hours of request.
  3. Coordinate and train with TJPDC staff, as requested, to load minor changes to the web site.
Task 3: Social Media Support
  1. Produce social media posts (Facebook, X, etc.), as requested.
  2. Integrate social media platforms throughout the site as appropriate.
Task 4: Graphic Design Services
  1. Final formatting of TJPDC project deliverables (reports, posters, presentations, event flyers,marketing materials, and announcements), as requested.
  2. Charts and Infographics for use in TJPDC deliverables, as requested.
  3. Mapping Products, as requested.
  4. TJPDC Collateral Materials (Letterhead, Business cards, Envelopes, Signs, etc.), as requested.
  5. Meeting Materials for Open Houses, Public Forums, and Special Events, as requested.
  6. Logo Design, as requested.

Period of Performance

The period of performance for these services is expected to be July 1, 2024, through June 30, 2027.

Proposals must be received by 5:00 pm on Friday, May 17, 2024.
